How We Work with Builders

A proven, repeatable process built around builder schedules, communication standards, and documentation requirements. From the first plan set to the last lien waiver.

Our 8-Step Builder Process

Every step is documented, tracked, and communicated — so you always know where we are and what's coming next.

1

Step 1

Plans & Invitation to Bid

Submit your architectural plans, specifications, and ITB through our builder portal or by email. Our estimating team acknowledges receipt within 4 business hours.

  • PDF or CAD plan formats accepted
  • ITB and bid date acknowledged immediately
  • Project logged and assigned to an estimator
  • Questions submitted back within 24 hours
2

Step 2

Takeoff & Specification Review

Our estimators perform a full quantity takeoff and spec review. We identify opening counts, sizes, configurations, and specified manufacturers — and flag any ambiguities.

  • Complete quantity and opening size takeoff
  • Specified manufacturer and model identification
  • Alternative or equal products identified
  • Clarification RFIs submitted to GC/owner
3

Step 3

Competitive Proposal

A clean, itemized proposal with product options, unit pricing, and installation costs. Scope, exclusions, and lead times are clearly stated — no surprises at award.

  • Itemized by product and installation
  • Spec-compliant primary and alternate options
  • Lead time and availability noted
  • Value engineering alternatives if requested
4

Step 4

Contract & Submittals

Upon award, we execute the subcontract and immediately begin the submittal process. Product data, shop drawings, and calculations are submitted per the project schedule.

  • Subcontract execution within 2 business days
  • Submittal log created and shared
  • Product data and shop drawings submitted
  • Engineer calculations where required
5

Step 5

Scheduling Integration

We integrate with your scheduling system or communicate directly with field superintendents. Lot-level, unit-level, and phase-level scheduling is maintained in our system.

  • Lot or unit tracking for residential projects
  • Phase-level scheduling for multi-phase communities
  • Direct superintendent communication
  • Look-ahead schedule sharing
6

Step 6

Professional Installation

Background-checked, trained installation crews. We show up on schedule, install to manufacturer specifications, and clean up after every visit.

  • Background-checked installation crews
  • Installation to manufacturer specifications
  • Opener programmed and tested
  • Job site cleanup included
7

Step 7

Punchlist & QC

48-hour punchlist response on all open items. We track every deficiency reported by your field or QC team and close items with documentation.

  • 48-hour response to all punchlist items
  • Digital punchlist tracking and reporting
  • Field verification of completed items
  • Photo documentation available
8

Step 8

Closeout

Complete closeout documentation delivered per your requirements. Warranty docs, O&M manuals, lien waivers, and homeowner training materials — all organized and submitted on time.

  • Warranty documentation per unit or building
  • Lien waiver per phase or CO
  • O&M manuals for facility management
  • Homeowner door operation and safety guide

Communication Standards

We know the biggest builder complaint about subcontractors is communication. We built our process around fixing that.

Dedicated Project Manager

Every project is assigned a dedicated project manager who is your single point of contact from award through closeout.

Builder Portal Access

Log into our builder portal to view scheduling status, punchlist items, document submissions, and project history.

Proactive Communication

We reach out before problems arise. Material delays, scheduling conflicts, and access issues are communicated in advance — not after the fact.
